Paperwork questions
What documents do event organisers ask food vans for?
Most ask for your food business registration and hygiene rating, your food safety management system or HACCP plan, public and product liability insurance, a gas safety certificate, PAT test results and a risk assessment. Some also ask for fire safety and allergen information. Always check each event’s own list.
Can I send my documents to an organiser from my phone?
Yes. Pick the documents, then email the pack or share its link. The organiser can view each one or download them all at once.
Will it remind me before my insurance runs out?
Yes. Every document with an expiry or review date gets reminders four weeks before, a week before and on the day, then weekly until it’s renewed.
What if a certificate expires after I’ve sent the pack?
Upload the renewed one and the organiser’s link shows the new version straight away. There’s nothing to send again.
Who can see my documents?
Only the admins of your business. An organiser sees just the documents in a pack you send them, and only while its link is live.
